I. REGARDING ROOM APPLICATION PROCEDURES
Go to the Permanent Hosing (Reservations and price) section under the general menu of the WEBPAGE. Download the PDF Document called Application Form. You may print this Document and fill in the information on paper in order to send it by post, along with the required documentation. You may also fill out the Form online and click on the link to send it by email. In this case, you will need to attach the documentation electronically by scanning it beforehand.
It is essential that you fill in all the required information: personal and academic information, details about your room reservation, including the corresponding dates of your stay, and the type of room you are requesting. Without this information, your application will not be considered.
However, prior to submitting your application, it is very important that you closely read the Documentation on the Norms, Admission Requirements, House Rules, and Accommodation Contract so that you are well informed about the conditions, rights, and obligations that you acquire upon becoming Resident of Residencia Vértice.
Once you have sent out your application, please call the Residence to confirm that the PDF application form has been received correctly.
Please wait for the list of accepted members to be published on the web (approximately at the end of July).
Yes, it is absolutely imperative that you attach all the requested documentation. Otherwise, you will be automatically excluded from the application process. In order to avoid this problem, we recommend that you call the Residence after the documentation has been sent out to make sure that we have received all the documents correctly.
If for some unavoidable reason you do not have some of the requested documents at hand at the time of your application, you must fax them to the Residence as soon as possible, so that we can attach these to your file and consider your application during the allocation of rooms.
The 3rd clause of the Admission Requirements explains the criteria in detail. Notwithstanding, in short, they are: requested length of stay, giving priority to those applications for a Complete Academic Year; priority for students from UC3M; academic transcript, and distance between your home and the Residence.
You may mark your preferences and choose the type of room, but the Director of the Residence is the one who assigns them according to the room allocation list and the preferences that have been marked in the Registration Form. Returning residents have priority over the new ones.
You may indicate the name of the person with whom you would like to share rooms. You may also indicate certain preferences, such as: “Non-smoker, first year, same major,” in the reservation form, under the section for preferences to share a room. However, keep in mind that the preferences that you indicate are always by way of guidance, but never binding. Therefore, we cannot guarantee that you will get your preferences, but we will do everything possible to satisfy your needs.
Once you arrive to Spain, we will inform you about the financial entities where you can open one.
Yes, but you should first directly contact the staff of the same by phone or e-mail to arrange a visit. You will find the contact information on the webpage or in the registration form.
Students from Universidad Carlos III de Madrid have priority over other students, but students from other universities or centers are accepted, as well.
The confirmation of your acceptance occurs when the list of accepted members is published at the end of July, approximately.
If you are admitted, you will receive a formal letter of admission in which you will be asked to officially confirm by paying the Deposit + the 1st month of your stay. You will be asked to sign the accommodation contract on the first day you get to Residencia Vertice.
Starting on the day that the contract begins, with prior noticication by phone or e-mail to Management.
Can I move in on a weekend?
You may move in on a weekend, as long as the administration staff is informed 7 days in advance.
II. REGARDING RATES AND SECURITY DEPOSIT
The monthly price includes accommodation, Internet access, phone line (incoming and internal calls), water and electricity, cleaning service twice a month, and services included in the room: furniture, TV, kitchen, and bathroom.
The prices for reservations of a complete academic year or less are per person/month. As for daily stays, the price that appears is per room/night.
The Residence offers you different prices according to your length of stay, so you should specify the dates of the same when you fill in the form.
Please take into account that the Residence gives priority to those applications that request accommodation for a Complete Academic Year, which is 9-10 months, with more attractive rates.
In this case, you would lose the amount of the security deposit, unless it was due to unforeseen events. In the latter case, the cost of your stay would be settled according to the actual months you spent at the Residence. Please see the example below to better illustrate this assumption.
Example: If you had applied for a single room for 9 months, and you finally stay for 7 months, you will need to pay the monthly difference between the original rate and the one that corresponds to the medium-length stay of 2-8 months:
Rate for Complete Academic Year (9 to 10 months) = 525.-€+ VAT/Month.
Rate for Intermediate-Term (2 to 8 months) = 560.-€+ VAT/Month.
Difference of 35.-€/month x 7 months of actual stay = 245.-€+ VAT is the amount that you need to pay for the change in the rates.
The security deposit is a guarantee deposit that needs to be paid prior to moving into the Residence, and which is refunded within 2 months after the departure date. An amount will be deducted from this deposit to cover the cost of any repairs resulting from possible damages in the room after an inventory has been run, as well as any outstanding payments, if applicable. Additionally, expenses incurred from the clearance of the room: cleaning, washing towels and sheets, etc., will be deducted.
Clearance of the security deposit is an administrative procedure that is conducted when you move out of the room, after your accommodation contract has expired.
After completing the check-out inventory and verifying the state of the room with the person in charge of the Residence, the cost resulting from any possible damages in the room, if applicable, will be deducted from the security deposit.
If you decide to renew your contract for the following year, you will only need to pay for the security deposit adjustment.
If you do not renew your contract for the following year, the net amount after clearance will be refunded to you.
Remember: People like to find their rooms clean and in a good state. If you return your room in the same state as you originally found it, we will be able to refund you more money at the end of your stay.
The Security Deposit is refunded within 2 months after your departure date, as long as there are no damages or outstanding payments.
The Security Deposit is a guarantee deposit that may not be used to substitute any monthly rent; for what all the months covered by the time period that is specified in the contract need to be paid for.
If you are accepted to the Residence, you should pay the Security Deposit and the first month of your rent by bank transfer to the Residence’s bank account number.
You will have to open a bank account to pay for your monthly rent payments only after you arrive to Spain.
The monthly rent payments will be made between the 1st and 5th day of each month by direct debit to the account specified in the registration form. Payments are made bimonthly as established in the Thirteenth Clause of the Admission Requirements.
Notwithstanding, the first month and the security deposit will be credited prior to the Resident’s entrance to the Residence.
Yes, water and electricity are included in the price. However, we require that the Resident consumes these utilities responsibly. Consumption of electricity and water in the lodgings may be subject to control, so that once the foreseen maximum per resident is exceeded, an additional payment may be claimed for the excess consumption detected. In this manner, we intend to offer the Resident a complete service for a fixed price, but trying to prevent a practice of consumption abuse when basic habits for energy saving are ignored: turning the light and the AC off when leaving the room, not letting the tap water run unnecessarily, etc.
Residences, and Residencia Vértice in particular, offer rates based on its clients’ needs, which include staying at a place that is close to their places of study or work during a long period of time.
This is why reservations in this type of housing are not made by days as in a hotel, but rather for long stays that last several months. For this reason, if you reserve your room for the month of September, the Residence cannot dispose of the space during this time because we do not rent rooms out by days; except for very few and specific ones that we offer at a much higher price than the Permanent Resident Plan, as a more complementary service to the Residence.
In the same way, even if you move out several days prior to the end of the last full month of your stay, the Residence cannot rent this room out because it is specifically assigned to the type of room/client that stays for the Academic Year. Therefore, after your departure, the room will remain vacant under this plan because the Academic Year has either ended or it is close to conclude.
Accommodation rates are therefore much better adjusted and cheaper for the Permanent Resident Plan than for the Daily Accommodation Plan. This constitutes an advantage for the Resident, provided that he respects the rules concerning reservation, use, and prices (Admission Regulations) that this type of plan offers, which establishes that the price to be paid is by full month and by the number of calendar months that the Resident has requested in his Registration Form, thus conditioning his admission.
III. REGARDING THE SERVICES

No, but there is a loan service for ironing boards and irons in the laundry room at the Residence. Also, there are cleaning rooms located on every two floors (7th/6th, 5th/4th, 3rd/2nd) where the Residence offers the possibility for its Residents to use cleaning materials: broom, dustpan, mop, and bucket. These utensils should be returned to this room after their use. Additionally, we offer the option of borrowing a vacuum cleaner from Administration.
The Residence offers a maintenance service. You just need to let Administration know, and they will fix it as soon as possible. Please be aware of the fact the Residence will not charge you for this service if the object has broken down from a normal use. In case of inappropriate use or vandalism, the Resident will need to pay for the repair.
No. You will need to take it to the containers located in the patio at the entrance of the Residence. Leaving waste bags on the hallways and outside the room doors, etc. is punishable, and may result in expulsion from the Residence.
Residence Vértice has a commitment for Service for those Residents who stay with us. Therefore, we are considering the possibility of offering a continuous Catering Service for those Residents who may be interested in it.
Our Accommodation Philosophy is to provide everything necessary in the room for the Resident to carry out an independent life that is adapted to his needs: a dormitory/study room, small kitchen, and bathroom. Additionally, a range of services / common areas are offered at the Residence in order to make the stay more pleasant and sociable.
Among the aforementioned Services, we will offer a cafeteria/restaurant for the upcoming academic year, which is an optional service. However, the Residence has thought about offering our Residents a Half Board Service of a dinner-only option to those who demand it; and thus, ensure a more comfortable and complete foodservice for school days, when studying is the maximum priority for our Residents.
Therefore, as a possibility, and in order to learn its degree of acceptance, we are offering a Dinner Option from Monday to Friday, with an attractive monthly cost of 110.-€, to be enjoyed at our Residence cafeteria.
The menu would consist of a buffet-style salad (with a minimum of 6 ingredients to combine), a 1st dish to choose from two options, a 2nd dish to choose from two options, dessert (with 4 options), bread, and drink (pitcher of water).
For this reason, we ask you in the Registration Form to mark this option should you be interested in it. The Residence would confirm the offering of this Service in the Admission Letter, asking you to confirm the contracting of the same.
If this optional dinner service is not offered at the end or you do not want to contract it, the Residence cafeteria will, in any case, be at your disposal with the times and types of services that will be announced once you are residing in our facilities.
The prices for the Complete Academic Year, Intermediate-Term, and Short-Term stays include two room cleaning services per month; it is a mandatory service that the Residence provides.
